Pilot enquiry data notice
This operational notice explains what the pilot product does with a buyer enquiry. The participating dealer's pilot agreement must identify the responsible legal entities and contact details before real buyer data is accepted.

What a real dealer enquiry stores
The buyer's contact details, company and location where provided; automation requirement and commercial context; selected inventory; deterministic match reasons, incompatibilities, unknowns and engineering caveats; the receiving dealer; source page or widget attribution; and timestamps.
Purpose and access
The information is used to qualify and deliver the enquiry to the dealer that owns the selected listing. The lead is visible in that dealer's authenticated, tenant-scoped workspace and to authorized pilot operations personnel when required for delivery, security or support. It is not published as marketplace content.
Current processing boundaries
- The public fictional dealer demo does not submit its contact/RFQ preview. Its requirement text and structured interpretation may be stored for abuse prevention, product verification and funnel measurement.
- Requirement text is sent to OpenAI's Responses API with provider storage disabled for AI-assisted interpretation. Contact-form fields are not included in that AI request. Buyers should keep names, email addresses and confidential information out of the requirement box.
- For an activated real dealer, the complete submitted RFQ is stored in the tenant-scoped dealer workspace. Resend receives the notification email content when dealer email delivery is configured. No CRM or payment processor is connected.
- The product does not make an automated purchase, safety or engineering decision.
- Buyers should not submit confidential process information, special-category personal data or payment details.
- Retention, deletion requests and named legal contacts must be set in the participating dealer's signed pilot agreement before real buyer data is enabled.
Pilot activation requirement
This notice documents implemented product behavior; it is not a substitute for jurisdiction-specific legal review. Until the named pilot parties approve their agreement and contact details, use demonstration or authorized test data only.
